    If you want to improve efficiency and get the job done more easily and faster, it's worth looking at the following specific points to see how they affect how easy it is for you to work.

    Too Many Distractions


    Most devices have a notification function available to keep you updated with changes, updates, email messages, or anything relating to your work. Let's say you're a social media manager for a few brands; having notifications pop up for published posts, comments, likes, shares, etc., can take your attention away from the task at hand. 

    While it is essential to build up a rapport on social media to build your client's visibility, it can eat into your day, and before you know it, it has taken over. Set designated times for you to replay comments and engagements and avoid checking notifications outside of this; even turning them off altogether and allocating specific time points to check them can be helpful if you find it overwhelming.

    Memory Heavy Software


    If you're using software that uses up a lot of your device's memory, then chances are it is slowing down your whole system. Finding out what software is causing the problems and either looking for fixes or updates or removing it entirely and looking for a, e.g., Trello for project management, Canva for graphic design, can allow you to get more done. 

    There is nothing worse than being hindered by a slow device. So whether you are looking at how to reduce chrome memory usage or delete memory-intensive apps and software, know what is slowing your device down and impacting your efficiency, and put the right changes in place to speed things up.

    Too Many Emails


    Again, like with notifications, replying to emails can actually eat into your efficiency and take your time away from other tasks you need to perform. It can be a good idea to define a 'time block ', e.g., setting aside specific periods of time for a particular task, such as replying to emails and only forwarding through the ones you revive. 

    It can be important, such as new client discussions or problem-solving emergent emails that need your immediate attention. Outside of this, set a designed email reply time each day, be it an hour every morning or 30 minutes at the start of the day and 30 minutes before you head home. Remove distractions if your day is blocking replies or sending emails at specific times only.

    Personal Use


    Many people are addicted to their smartphones or social media accounts, and the temptation to check these constantly can be a considerable factor in reduced efficiency. If this impacts you or your workplace, enforcing no personal usage limits during working hours can help you combat this. But you can set times where this is allowed. 

    If people are sneaking off to use their phones or flouting the rules, then working with this can work better, so put no personal usage times and allow people to access their phones during specified times, e.g., 20 minutes at 10 am or 2 pm, whatever works for you. This can help people avoid the need to waste time secretly using their devices for personal reasons and commit to working with no distractions at other times.

    Software not Compatible


    Introducing software to improve your work and create a more efficient and seamless experience is the goal for many businesses, including marketers. However, these constant changes and updates can have the opposite effect if you're not careful. If existing and new software doesn't gel well together or create a more cohesive experience for your team, they're likely wasting time looking for workarounds, duplicating things, or jumping through too many hoops to do what they need to. 

    To avoid this, you can look at how well everything works together and identify what's going wrong. It could mean you need to keep making changes until they work together, replace all software with a new one that takes care of everything easily, or experiment to find something different that doesn't impact productivity and efficiency.
